FLIGHT CENTRE TRAVEL GROUP - TERMS AND CONDITIONS OF ATTENDANCE AT THE FCTG GLOBAL GATHERING ("Terms")
Please refer to your country’s Flight Centre Travel Group ("FCTG") policies for comprehensive information on Dress Standards, Airline Conduct, Bookings, Check-in and Boarding.
It is essential that you are currently employed with FCTG, and not under a notice of termination, and that you are fit and able to attend work. All other eligibility criteria as per your Brand requirements.
The following expectations apply specifically for travel to the FCTG Global Gathering:
- An FCTG senior staff member and / or Global Guardian will be present on flights travelling from some departure points to Los Angeles and return, where possible. This Guardian may give instructions or directions during the flight. These instructions or directions must be followed in all instances. Airline Crew Member instructions take precedent over the Global Guardian instructions and must be adhered to.
- When travelling to the Global Gathering, Duty Free alcohol may not be consumed during flight. Any Duty-Free alcohol found on the flight may be confiscated by the Guardian.
- Whilst it is voluntary to attend the FCTG Global Gathering, once registered and in Los Angeles, attendance to all official functions during the FCTG Global Gathering events is compulsory, unless non-attendance is for medical reasons. If you are unable to attend a function due to medical reasons, you are to advise the organiser/leader of the conference or a Global Guardian or FCM M&E immediately. The onus is on you to advise them of your state, not for them to come looking for you.
- All attendees are expected to assist any other attendee who is in need, or advise a leader, event staff or Global Guardians for assistance.
AVIATION REGULATIONS
- Responsible Service of Alcohol
- It is an offence to supply liquor to or allow liquor to be consumed by a person who is unduly intoxicated or disorderly. If at any stage cabin crew members are concerned for your safety in relation to your consumption of alcohol, this service may be limited or ceased for the remainder of the flight
- Duty Free Alcohol may NOT be consumed on any flight
- At the discretion of the airline and/or subject to local laws, masks may be mandatory on flights to and from the United States of America.
- Congregation regulation and laws to and from the USA
- Passengers are not permitted to congregate in large groups throughout the cabin. This includes in the general cabin, bar areas, near aircraft doors and around lavatories
- If this occurs, you may be asked by the crew or the captain to return to your seat
CONSEQUENCES OF BREACH OF THIS POLICY
Please remember that travel to the FCTG Global Gathering is a privilege, not a right.
Whilst travelling, you are a representative of FCTG. Your behaviour affects our reputation and shapes the opinions of our travel partners, local communities and businesses. FCTG is endeavouring to become a world class company on the global stage. The professional behaviour of every member of our company is integral to the success of this quest. Behaviour that violates any FCTG local or global policy and is considered to be inappropriate or unacceptable conduct (“inappropriate or unacceptable conduct”) while travelling or in attendance at the FCTG Global Gathering will not be tolerated.
- If inappropriate or unacceptable conduct occurs on the flight on the way to the destination, at the destination or the return trip home, the employee may be sent home immediately, and disciplinary action may occur up to and including termination.
- In addition, the airlines will always have the right to contact the authorities and report any inappropriate behaviour (they may in fact be compelled to do so). Any inappropriate or unacceptable conduct may constitute a crime with serious consequences for you.
TRAVEL INSURANCE
All Global Gathering FCTG attendees will be covered by travel insurance. Depending on your region, this will be a group or individual policy. Details regarding travel insurance will be advised soon.

RISK OF TERRORISM
As we are all aware, there is currently a heightened risk of terrorist acts against certain western interests and citizens throughout the world. Before you register for the conference, you are required to check your local Government’s travel advisory website for information and see the risk level for the United States of America. You need to decide whether you are prepared to accept that risk. You should also continue to check the site to see if the risk level has changed and whether you are still prepared to accept the risk.
Below is a sample of Government travel advisory websites for Los Angeles. We suggest checking your country’s website, including updates prior to travel.
LOCAL LAWS
When you are in Los Angeles, be aware that local laws and penalties, including ones that appear harsh by your own country's standards, apply to you.
If you are arrested or jailed, your government is likely to do what it can to help you but cannot get you out of trouble or out of jail. Information on what your consular officers can and cannot do to help when in trouble overseas is available from your Government's Consular Services Office. See some sample links below for reference:
Penalties for possession, use or trafficking of illegal drugs, including ‘soft‘ drugs, may include heavy fines and imprisonment.
You must act in accordance with local laws and be respectful to local culture and others. If you run into any problems with law enforcement, you must contact the FCTG event organisers immediately to ensure you get timely legal support.
You are responsible for your own personal safety and good behaviour while you are away. We want you to have a great time, however, don’t forget to be responsible for yourself and others. Have a good time but stay in control. If you do find yourself or one of your travelling companions in trouble, you must advise the FCTG event organiser or a Global Guardian immediately.

CONSENT TO DISCLOSE MEDICAL INFORMATION
FCTG needs to be in a position to assist you and to provide information to your family members in the event of a medical emergency. You authorize any health care provider who provides you with care during the duration of the trip (i.e., from the time you board your departing flight until the time you exit your return flight) to disclose to your Global Guardian and/or responsible senior manager your location, general condition, or death so that they can inform your emergency contact and/or family members. In the event you become incapacitated, or in the case of a medical emergency, during the duration of the trip, you authorize any health care provider who provides you with care to disclose to your Global Guardian and/or responsible senior manager who is involved in your care any information, including medical information, directly relevant to the Guardian’s and/or responsible senior manager’s involvement with your care. The Global Guardian and/or responsible senior manager will use this information to support the provider’s treatment of you and/or to notify your emergency contact and/or family members.
DISCLAIMER AND INDEMNITY
In agreeing to attend the Flight Centre Travel Group Global Gathering Conference and Awards 2025 and in accepting these Terms and registering for the event, you agree to accept full responsibility for your own acts, omissions, conduct and for all activities you choose to participate in whether or not before, during or after official events.
To the extent permitted by law, you release and indemnify Flight Centre Travel Group Limited, its related bodies corporate and affiliates, and each of its and their officers, directors, employees, agents and contractors (“Flight Centre Indemnitees”): (i) in connection with your death, personal injury or any illness you may suffer, loss or damage to any property (including personal effects) including without limitation contracting COVID-19 and/or being subject to government restrictions or quarantine; and/or (ii) in respect of any losses, damages, liabilities, claims, costs or expenses (including without limitation, any legal costs or expenses) that may be suffered or incurred by any of the Flight Centre Indemnitees, directly or indirectly, arising out of or in connection with your attendance at the FCTG Global Gathering Conference and Awards 2025, including (without limitation) where you are reckless, negligent, fail to comply with local laws or any other applicable laws or regulations, or otherwise act contrary to these Terms, the instructions of an FCTG representative or Global Guardian or the terms of your employment with FCTG.
To the extent permitted by law, FCTG will NOT be responsible for and disclaims all liability and responsibility in connection with any activities you chose to participate in or for any acts or omissions or conduct by you (whether or not those activities, acts, omissions or conduct occur while you are travelling to/from the destination, occur at the destination or form part of or occur during the official event program) in any one or more of the following circumstances:
- Where you act negligently, recklessly, maliciously or otherwise;
- Where you do not comply with any instructions you receive from FCTG, any of its representatives or a Guardian, from any law enforcement personnel or other officials (including immigration, customs or military personnel) or from any airline, hotel or event staff;
- Where you are intoxicated, under the influence of illicit drugs or otherwise behaving improperly; and/or
- Where you breach any applicable laws (including without limitation any laws of the United States of America).
