Travel Information

Group flights have been secured from the below ports. Should you be travelling from a port other than those listed below, you will have the opportunity to indicate this in your registration and the Beyond Yes Events Team will be in touch to confirm your arrangements.


Important Information

Check In

Online

Online check-in for domestic travel will open 48 hours prior to your scheduled flight departure, and close 45 minutes prior. Check-in for your flight online via desktop, tablet or mobile devices using Virgin Australia’s online check-in portal. Please note you will be unable to manage your booking before check-in opens, any changes you require please contact the Beyond Yes Events Team.

At the airport

Check-in will close 30 minutes before departure and you won't be able to check your bags after this time. We recommend you're checked in with bags dropped at least 60-minutes prior to your scheduled departure time.

Travel Documents

Ensure you have all necessary travel documents ready, including your photo identification (such as a driver's licence or passport) and your electronic or printed boarding pass.

Luggage

Checked Luggage

To reduce the risk of lost luggage, please make sure your bags are clearly labelled with a luggage tag. In addition, we also recommend that you attach an address label to the inside of your luggage for extra protection.

Group flights are booked with Virgin Australia which will allow you to check-in one (1) piece of luggage up to a maximum of 23kg. This may vary slightly depending on your frequent flyer status or should you upgrade to business class or economy X.  Additionally Virgin Australia allow 7kg carry-on luggage.

Please note that any additional luggage (outside of the allowance detailed above and on your ticket) incurs additional charges, for which you will be personally responsible.

If you are flying on an airline or class other than those listed above due to regional connections or the itinerary of your pre- or post- Champions Club extension, make sure to check with the relevant airline as to their individual luggage allowances as they can vary considerably between airlines.

Transfers

Transport to and from your home airport

Please use your corporate credit card for taxi transfers to and from your home and airport. If you do not have a corporate card, keep your taxi receipt, and claim your trip as an expense. Your manager will advise you of this process if you need further information.

Transportation for pre and post Champions Club travel

If you have arranged to extend your travel pre- or post- Champions Club 2024, airport transfers outside of the group dates are at your own expense.

Travel Insurance

Travel insurance is included through the Optus Travel Policy for the period of travel between 12-16 August 2024 only.

An extension to this policy cannot be arranged. If you are planning an extension, an alternative travel insurance policy is strongly recommended.

If you wish to extend without insurance you waive your right to pursue a claim through the Optus policy and release Optus and The Beyond Yes Events Team from any obligation or liability.

Please be aware that the majority of travel insurance companies don't cover you if the policy commences once you have left for your trip, therefore, you may need to purchase a policy for the entire duration of your trip.
